Terms for Big Fun Run

Event Rules & Guidelines

The following rules and guidelines are intended to help produce an event or virtual challenge, to ensure the safety of all participants and to meet the requirements of local government permits. GSi Events retains the right to refuse entry to anyone declaring false information on their application, not making the required payment, or otherwise failing to meet the entry requirements. In any and all circumstances GSi Events retains the right to refuse entry to any person.

  • Each entrant must have their own ’My Details’ account to enter the challenge. An email address is required for all entries. All correspondence will be via email. A separate email address for each participant is preferred but not required.  If using the same email address for two or more entries, each My Details account must have a different password.
  • To register for the Big Fun Run you must be 16 years of age or older on event day. Entrants aged 0 to 15 must be entered by a parent/guardian and must be accompanied at the event by a parent/guardian.
  • Each participant must agree to the disclaimer and these terms and conditions before participating in the challenge. All participants take part at their own risk and a disclaimer waiving all claims against GSi Events and any party acting on its behalf must be completed by all entrants.
  • By taking part, all participants confirm that they are happy for their names and any footage or photographs taken during their participation in Big Fun Run to be used to publicise any GSi Event. Participant number bibs are specific personal identifiers and cannot be exchanged with or sold to any other person.
  • All entry fees are non-refundable, and can not be deferred towards a future event, nor can an entry be transferred from one challenge to another. Entries are non-transferable.

  • Participants must follow safety advice and instructions as given within the participant information pack throughout the duration of the challenge.
  • All participants are expected to conduct themselves in a professional and courteous manner during their participation in the challenge.
  • The wearing of headphones, or similar devices, (other than those medically prescribed), is not permitted. Bone conducting headphones which do not plug the ears and therefore allow the participant to hear their environment are advised if the participant wishes to listen to music during the challenge.
  • Participants are responsible for planning a safe route to complete the challenge distance.  It is advised to recce the route by walking, cycling or driving it ahead of completing your challenge.  All relevant guidance and rules for pedestrian use of roads and pavements must be followed.
  • It is the responsibility of the participant to participate only if they are medically fit and able to do so.  If at any point the participant feels unwell during the challenge, they must stop and seek assistance.
  • Participants are responsible and assume liability for any and all medical expenses incurred as a result of training for and/or participation in the challenge, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services.
  • It is advised that participants share their route with others and tell them how long they expect to be away.  They are advised to update their contact with any changes to their plan to ensure their safety during the challenge.

Refund policy

Customers of GSi Events have the right to cancel any entry made over the internet as long as it is done within 14 days of the original entry date. Otherwise, all entry fees are non-refundable and GSI Events Ltd retains the right to refuse entry to anyone declaring false information on their entry form, not making the required payment, or otherwise failing to meet the stated entry requirements. In the event of a refund being made, this will be made with the original purchaser, not with the event participant.

Planning of any event begins a minimum of 12-18 months prior to event day.  During this time, costs are incurred from the beginning of this process and covers everything from website hosting, marketing, event planning and risk assessing, right through to ordering of finisher’s items, and finally on the day for road closures, and infrastructure.  As such, all entry fees are non-refundable after the initial 14-day cancellation period as stated above.

In the event of postponement (for example, in extreme weather conditions or due to government or local authority imposed restrictions), GSi Events Ltd retains the right to enact any of the following;

  • Reschedule the event to another date
  • Deliver the event as a virtual event

Participants would have their entry automatically transferred to either the virtual event, or to the rescheduled event date.

If a participant cannot attend the event on the rescheduled date, they will receive a voucher for no more than 50% of the value of their original entry, and any unfulfilled products which will be able to be used across a variety of available events.  The voucher will be valid for a minimum of 9 months but often longer.

In the interests of safety, the Event Director and the Emergency Services reserve the right to stop an event at any time, if deemed necessary. These would be in exceptional circumstances beyond our control and no refunds would be given.
